OBTAINING OFFICIAL DOCUMENTS

 Address Registration Certificate can only be obtained from the e-Devlet (e-Government) platform if you have already registered your address.

If not, you have to register your address first.

Registering your address:

  1. Collect the required documents
    1. Residence permit card
    2. Passport
    3. A photocopy of your passport ID page (to an A4 size paper)
    4. Housing Document
      •  If you stay at KU Housing (dorms or boardings), you must collect a housing document (in Turkish) from the KU Housing Department (Dorm Management). To do so, you can use the H- Track-it system and request a residency document.  If you have housemates, their names must be in the document as well. In this regard, you must choose the option “change of address” as the reason for your request. If you chose the “other/visa” option, the document will not mention their names.  If you stay off-campus, you must bring your rental contract and a utility bill in your name along with your passport. Please make sure that your address is explicitly written on the document you bring.
    5. Student Enrollment Certificate (for students)
      • You can download it from the e-Devlet (e-Government) platform. Please click here to learn how to do so.
        • You can request it through the KUSIS system as well (click here to watch how to do it). Please make sure that the certificate is in Turkish. Because of the pandemic, the Registrar’s Office does not hand in the enrollment certificates in-person. You can request your document to be posted to your address.
  2. Make an appointment
    • After you collect the required documents, you should make an appointment with your district’s Civil Registry Office. Most of the KU affiliates live in Sarıyer, so they must make an appointment and visit the Sarıyer Civil Registry. However, if you live in Beşiktaş for instance, you need to visit the Beşiktaş Civil Registry (Nüfus Müdürlüğü) by an appointment along with the required documents.

3. Visit the office you made an appointment at the appointment date and time, have a queue number from a ticket dispenser, and proceed. In case you need, below you can find Turkish phrases to show or read to the officer there:

      • (Hello! I am a KU student and came here to register my address. Thank you)
    • Merhaba! Koç Üniversitesi öğretim elemanıyım ve adres kaydımı yaptırmak için geldim. Teşekkürler.
      • (Hello! I am a KU faculty and came here to register my address. Thank you)

Registering your dependents’ address:

You and your spouse must visit the office together. Therefore, please make sure that you add your spouse’s name to your appointment.  Your child does not have to accompany you, bringing his/ her documents is enough.

The required documents

  1. Your work/residence permit card
  2. Your dependents’ residence permit cards
  3. Your and your dependents’ passports
  4. Translated and notarized apostilled marriage certificate (for spouse)
  5. Translated and notarized birth certificates (for children)

To collect a criminal report (sabıka kaydı), you have 2 options:

1. e-Devlet (e-Government). You may visit //www.turkiye.gov.tr/ and log in with your online banking credentials or your e-Devlet password obtained at a PTT Office. Type “Sabıka Kaydı” into the search box and proceed. For the e-Devlet platform, please see //ico.ku.edu.tr/wp-content/uploads/2019/08/e-Devlet.pdf. This is the same platform where you download your address registration certificate.

2. You may visit Çağlayan Adalet Sarayı. You do not enter the building. However, on the right side of the main entrance, there is a counter with a sign that reads “Sabıka Kaydı”. There you can request and collect your record. You need to bring your passport and residence permit with you for this transaction. 

If you are abroad and in need of a criminal report from Turkey

You should contact the nearest Turkish mission to you, either via email or a phone call, and explain that you need a criminal report for the period you lived in Turkey. 

The officers at the Turkish mission can provide such a document to you. However, it may take some time.

Social Security Activation Document can be obtained from the e-Devlet (e-Government) platform if you are already registered to Social Security System. If not, you need to visit the Sarıyer SGK (Social Security Office) and register yourself with your work permit card and passport. After registering you, the personnel will print out your activation document and hand it to you.

Registering your dependents:

You and your spouse must visit the office together and your child does not have to accompany you, bringing his/ her documents is enough. Documents to bring: passports and residence permit cards. The personnel will print your activation document and hand it to you after registration.
